WesternNow Fulfillers: Important changes on viewing documents

As part of Release 48 deployed on the Thursday 4 July, an important change was made to WesternNow.

***Document viewer*** now supports inline viewing of certain document types within the browser itself, meaning staff using the backend can now open attachments without downloading them to their device. Simply click the ‘View’ link right next to the relevant attachment(s), and this will open the attachment as a pop-up in your browser.

This change has been applied to all case types in WesternNow (CSM, HRSM, ITSM) with the following file types supported:
• MS Word (.doc) and (.docx)
• MS PowerPoint (.ppt) and (pptx)
• MS Excel (.xls) and (.xlsx)
• PDF
• PNG
• JPEG

We strongly encourage all fulfillers to make use of the Document Viewer functionality, as supporting documentation/attachments often contain disclosures of sensitive information that fall under the Privacy and Personal Information Protection Act 1998 (NSW) (PPIPA) and the Health Records and Information Privacy Act 2002 (NSW) (HRIPA), as well as the Privacy Act 1988 (Cth).

Unless there is an overriding requirement to do so, viewing/sighting an attachment / supporting documentation is all that is required to progress a ticket. If you click the attachment rather than the “view” button, the attachment will open and download/save to your local computer, which increases the University’s risk of breaching the above Privacy legislations. Therefore, every piece of information downloaded should be either deleted as soon as is downloaded to the local computer or saved according to the University privacy policies, privacy management plan and cybersecurity standards.

If you download an attachment in error, deletion of the document should be carried out as soon as possible, from the local computer (Downloads folder).
